Payment Policy

At Ypsi, we require upfront payments for all orders and services, unless otherwise agreed upon in writing. This policy ensures that we maintain a smooth and efficient business relationship. Below are the payment options, terms, and additional conditions for clients inside and outside the EU.

1. Payment Methods 

For EU Clients: Paying via SEPA Transfer

SEPA (Single Euro Payments Area) allows for quick and secure bank transfers made in euros.

To make a payment via SEPA, follow these steps:

  1. Access Your Online Banking: Log into your bank’s online platform or mobile application.
  2. Initiate a Euro Transfer: Choose the option for a Euro or SEPA transfer.
  3. Enter Our Payment Details:

  4. Enter the Payment Amount and Reference: Make sure you include the invoice number in the reference or description field, with out the invoice or reference number the payment will be returned.

SEPA transfers are typically processed within 1-2 business days.

For Non-EU Clients: Paying via SWIFT Transfer

For clients outside the EU, we recommend using the SWIFT transfer method for international payments.

  1. Access Your Online Banking: Log into your online banking platform or mobile app.
  2. Initiate an International Transfer: Choose the option for an International or SWIFT transfer.
  3. Enter Our Payment Details:

SWIFT transfers typically take 3-5 business days to process. Please note that some banks may charge additional fees for SWIFT transfers, which are the responsibility of the client.

For Eu and Non-EU clients: Paying directly in the shop

  • Upfront Payments: All orders require upfront payment unless otherwise agreed in writing.
  • Invoice Due Date: The payment must be made before the delivery of goods or services. We reserve the right to delay or withhold shipment of goods or provision of services if payment has not been received.
  • Currency: All payments are to be made in euros (EUR) unless otherwise discussed.
  • Fees: Any transaction fees (e.g., bank transfer fees, SWIFT charges) are the responsibility of the client and will not be deducted from the invoice amount.

4. Invoice Discrepancies and Cancellations

  • Discrepancies: If you find any discrepancies in your invoice (e.g., incorrect charges or items), please contact us immediately at [email protected]. We will review and correct any errors as soon as possible.
  • Cancellations: If an order is canceled before payment is made, no charges will be incurred. If payment has been processed, please refer to our Return Policy for instructions on refunds.

5. Failed or Declined Payments

In the case of a failed or declined payment (e.g., insufficient funds, payment processing errors), we will notify you promptly. You will have a specified period (e.g., 3 business days) to resolve the issue and complete the payment. Failure to do so may result in delays or cancellation of the order.

6. Overdue Payments and Collection

  • Late Payment Fees: If payment is not received by the due date, a late fee of 10% per month will be applied to the outstanding balance.
  • Unpaid Accounts: If your account becomes overdue, we will send you reminder notices. If payment is not received within 30 days of the due date, your account may be sent to collections. Any costs associated with the collection process will be borne by the client.

7. Refunds and Payment Adjustments

  • Refunds: Refunds will be issued according to our Return Policy. Refunds will be processed using the original payment method unless otherwise agreed upon. Any transaction fees or costs related to the return shipping are non-refundable unless the return is due to a defect or error on our part.
  • Overpayments: In the case of an overpayment, the excess amount will either be refunded to you or applied as a credit to future purchases, depending on your preference.

8. Payment Disputes

If you dispute an invoice or payment, please contact us within 14 days of receiving the invoice. We will review the situation and work with you to resolve the issue in a timely manner. If necessary, the dispute may be escalated to a legal or third-party mediation process.

9. Recurring Payments

For subscription-based services or recurring payments, the following applies:

  • Frequency: Payments will be automatically charged on the agreed schedule (e.g., monthly, annually).
  • Cancellation: You may cancel your subscription at any time before the next billing cycle. No refunds will be issued for any unused portion of the service.
  • Failed Payments: If a recurring payment fails, we will notify you, and you will have a grace period of 3 business days to update your payment method.

10. Legal Considerations

  • Governing Law: This payment policy is governed by the laws of the Netherlands. Any legal disputes related to payments or transactions will be resolved under the jurisdiction of the Netherlands.
